Fax to email service is a logical innovation for mobile professionals. It allows them to conduct business from wherever they may be at any given moment via a WiFi connection or broadband card, without the need for a physical fax machine.

There are many benefits to fax to email service, but the most important is the ability to exchange sensitive information on required forms without a trip to the office or the expense of a fax machine and related materials that take up space in an office. The forms will be received via the mobile professional’s email account, so they can be accessed immediately. Fax to email service also eliminates the need to use pay-per-fax locations that may not have adequate security in place; an important consideration given the type of information required for sensitive transactions.

In addition, the fax can be received by more than one person simultaneously if the fax to email account is configured to allow it. This means everyone involved in a transaction can be in the loop, no matter where they are at crucial moments during the process. Fax to email service also eliminates the need for someone to man the fax machine at an office location so that a fax can be scanned and emailed, or received and delivered via messenger or priority mail, to a mobile professional who is out of the office at a critical time.

There are many additional advantages to fax to email service. First, nothing needs to be printed unless it is necessary. This cuts down on wasted paper as well as filing space for documents that may never be accessed again. It also reduces the need for toner cartridges and the recycling of those products.

Fax to email service puts the faxed documents where they’re instantly able to be viewed – on the mobile professional’s computer. Once there, the documents can be saved to disk or to the cloud, printed if necessary, and/or deleted when no longer active or required. The faxed documents can also be attached to transactions, added to a virtual client file, and distributed to any parties with a need for them. Multiple copies of paperwork can be printed when necessary, without a trip to the file room or office. All of this takes place within the confines of a secure environment where clients know their sensitive information is protected.

The biggest advantages over a physical fax machine is the associated paper and materials, and that there is no need to be in a specific location to send or receive a fax. If a fax comes through when the mobile professional is not online, it “waits” to be received like a standard email. It can also be delivered to the professional’s PDA, if it has email capability. The fax can be sent from a laptop. To do this, the sender with online fax service logs into their account and enters the fax number of the recipient. If the receiving individual also has fax to email service, the document goes directly to their email account.

If the receiving party does not have online fax service, the fax goes directly to their fax machine. On the other side of the transaction, a professional with fax to email service will receive a fax sent from a fax machine to their email account. This means that no paper needs to be printed and no physical machine needs to be used by a mobile professional with fax to email service, whether that individual is the sending or the receiving party.

In the course of a day, a mobile professional is going to be on the move. The professional is also likely to be dealing with a number of time-sensitive transactions simultaneously. The transactions may include sensitive information that gives clients legitimate concern about the security of any documents being exchanged. With fax to email service, it’s possible for the mobile professional to be on top of things while ensuring an appropriate level of security and a satisfactory turn-around time.

In every home office, having Internet fax may play a significant role in overall performance and efficiency. How? Simply put, Internet fax can save space, time, and money.

Today’s home offices share a few common elements. Typically, they are short on space, and they are rarely dedicated offices. Generally, they occupy the corners of larger rooms such as bedrooms, dens, and living rooms. The result is cluttered surface areas and messiness that diminishes the look of the room with which the home office shares space as well as productivity.

Consider all of the things that clutter the average desk. There is usually a computer, a mouse, keyboard, fax machine, printer, speakers, a stack or stacks of paper, books, pencil holders and other miscellaneous items. How much room would there be if a fax machine were eliminated from the surface area and replaced by Internet fax? Considering a fax machine is one of the larger items found on a desk, it could add quite a few inches back to the work space.

Leveraging the convenience of Internet fax makes saving space possible. All faxes, whether received or sent, are handled directly through the computer.

However, Internet fax saves space in more places than just on a desk. Closets, storage units, and desk drawers also experience the disorder that comes from owning a fax machine. With Internet fax, all supplies related to fax machines, such as boxes of ink cartridges and extra reams of paper, are eliminated. As a result, there is less clutter-and any time there is less clutter, there is more efficiency.

Of course, whenever a fax is received, it must be kept somewhere. In fact, a large portion of filing cabinets are filled with faxes. It is not unusual to find thousands upon thousands of pages of faxes in filing cabinets, adding bulk, weight, and time to the file retrieval process. And most small businesses not only keep the faxes they receive, but also the faxes they send because they want to keep record of all their correspondence. Imagine all the file space that would be saved if it were digital instead of physical?

With Internet fax, all fax communication can be kept right inside of the computer. If a hard copy must be made, just print it. If the same fax needs to be sent repeatedly, just archive faxes in your Internet control panel with your fax provider. Otherwise, the entire catalogue of faxed documents is eliminated from any physical storage space.

Now what does it mean to have less bulk, less paper, and fewer supplies in the office? One moves quicker, freer, and has a smaller foot print. Less trash is created and the mind is occupied with fewer things, so thinking moves just a tad faster. And what businessperson doesn’t want the benefit of being a little quicker on the draw?

Of course, Internet fax saves money too.

When considering all that is spent on ink cartridges, paper, fax repair costs, electricity, and of course the cost of a fax machine itself, it’s a wonder that there is any budget leftover at all. Consider the time it takes go to the office supply store when ink or paper has run out, or the time it takes to find a place to have a fax machine repaired. Or perhaps more importantly, the day-to-day costs of time spent having to physically print and hand-insert originals into the fax machine tray, and then dial the number. With Internet fax, simply send with a few clicks from the convenience of a neat and tidy home office space.

If there is more than one worker in the home office, then having an Internet fax means that each employee has his or her own faxing capabilities. And while it is true that Internet fax saves space, time, and money, it also helps save the world. Paper and ink production are costly to the environment, and utilizing Internet fax contributes to preserving it.

As technology continues to advance, eliminating machines of the past is always a difficult task to accomplish. However, once it is done, many people easily realize the benefits of new technology, and never turn back and yearn for what was. Internet fax represents yet another convenient and practical technological advancement that can improve home offices the world over.

Streamlining communications is important for creating a better customer service experience and an Internet fax allows just that. An Internet fax is sent to an email, rather than to a fax machine which is generally more reliable and faster.

Since faxes can be sent over the Internet, documents can be re-purposed for targeted marketing. It also means that a company can maintain brand consistency. Along with company image which helps to acquire and retain customers, consumer information can be kept all in one place. Consumers have come to expect rapid responses to their inquiries and concerns. Faxes sent directly into an email can help companies stay at the top of their game.

One can read documents that are sent to an email inbox without fear of smudging or poor quality. With traditional fax machines, it is unsure whether a fax will even come through, let alone be readable. An Internet fax does not have the same issues as a traditional fax when it comes to reliability and speed.

Also, one does not have to wait until one fax is sent before sending another using an Internet fax. In other words, there is no waiting in line to complete tasks. This means that businesses can run more smoothly. Having the option of sending more than one document at one time helps a business become more efficient in serving customers.

Since an Internet fax does not need to connect directly to a phone line, there is no frustration with busy signals. It is also much less expensive than a traditional fax machine because there are no extra costs for faxes sent to and received from other countries. Even when used to sending a fax to a traditional machine, an Internet fax makes life easier. This is because when software associated with an Internet fax encounters a busy signal, it will continue trying until the fax has been sent successfully.

With a global economy in place, businesses benefit from having a tool that works anywhere and at anytime. This enables companies in various countries to work together more easily. A worker does not need to be at the office to complete communications for a company. This means that a company’s work hours in one country can be accommodated by a company in another country.

Maintaining consistency among documents is crucial for branding a company. It also helps customers recognize information they receive from a company. Since faxes are saved as files on the computer, the same one can be used throughout the company. Also, employees can access those files and change the content to fit an individual client’s needs.

A system put in place with an Internet fax can allow each employee to use a password in order to access files. Nonetheless, those files can be shared. Being able to access documents and change existing documents to fit current needs allows workers to increase their productivity.

Increasing productivity means customer concerns are resolved quickly. It also means that a business owner will not have to hire as many employees or have their current employees work as many hours. Being able to cut expenses at this end allows customers to pay less for products or services, enabling them to feel all their needs are met.

One thing customers are constantly looking for when choosing a company to work with is whether that company is eco-friendly. An Internet fax system is one way to “go green”. It is not essential to print faxes out and if one does choose to do so, it can be done sparingly. This means that less paper is used, saving trees. It also saves on ink which cuts down on overall waste in the office. Also, one does not need to use the extra energy required by having more electronics when an office faxes over the Internet. By meeting this aspect of consumer needs, an Internet fax leads to better customer service.

Customers are also looking to save money. Using an Internet fax saves money by cutting down on paper, electricity, and hours worked. These savings are passed on to the customers which gives them a better service experience.

Businesses that use an Internet fax show that they are willing to innovate and change as the market evolves. This helps businesses work closely with customers and meet their needs quickly and efficiently. The improvement in customer service achieved by using an Internet fax will keep customers coming back and lead to referrals for the business.

Known by a variety of names, including “digital fax”, “email fax”, “virtual fax” – the Internet fax has become a staple of American business and personal communication. Simply put, it is a dedicated phone number that converts incoming faxes into digital copies that can then be viewed online and uses the Internet, instead of a regular phone line, for sending faxes.

There are a number of benefits to having an Internet fax account. The most obvious is the ability to connect two different forms of communication – the digital form such as email and the physical facsimile – seamlessly. The Internet fax service can also save money.

Rather than the cost of a dedicated fax phone line, an Internet fax account fee is much lower and uses the existing Internet connection to send faxes. Since the Internet fax account converts faxes into digital copies that can be viewed on your computer, there is no need to purchase a separate fax machine, buy additional paper or even accept “junk” faxes. In fact, with the incoming faxes converted into digital format, the attachments can be saved to digital files, manipulated through software programs on the computer or easily become part of other digital documents.

Efficiency and reliability are also major factors. Because the Internet connection is used to send and receive faxes, there are no “busy signals” or paper jams, which eliminates the frustration of running out of paper at a critical moment. Internet fax systems support encryption technology. Therefore, with documents delivered directly to an individual’s computer rather than to an unsecured office fax machine, the process is encased within a secure environment.

There are a lot of companies that now provide Internet fax services. Due to this fact, the marketplace for Internet fax services has created what may be termed, “standard fees and services”. For example, a free trial is standard, as is no “start up” fees. Most services also guarantee no hidden fees as well as customer support hours.

The average monthly fee is $10 with an average of 300 pages – both incoming and outgoing – included. There are some Internet fax providers that have service for as little as $7 per month with a 500 page limit, though fees lower than the average are often introduction fees and may rise after a short period. Many companies will also offer a cost break if the user signs a contract for a year or pays for a year of service in advance.

While most charge per page, there are companies that charge per minute. The per minute packages are offered on the notion that it takes approximately about 30 – 60 seconds to fax one page. However, transmission times can vary.

For plans that charge per page, the cost of going over the monthly page limit can be as minimal as 3-cents per page. Companies that charge a per minute rate will usually average about 6 cents per minute for every minute over the monthly package minutes. So whether you go with a per page or per minute provider, your overage rates work out to about the same.

Additionally, most services will store faxes for up to 30 days, though some of the more expensive services will hold faxes for up to two years.

For higher volume users, such as a company with a large office or branch offices, Internet fax companies offer what amounts to bulk discount packages. One example would be an Internet fax service that expands the number of faxes included in a basic plan from 200-300 for $10 per month to 2500 fax pages for $50 to $60 per month, depending on whether the service is paid monthly or annually. This can also be an effective plan for companies that broadcast faxes, or send the same fax to numerous recipients simultaneously.

The most important factor to consider when selecting an Internet fax service is determining whether the solution will be scalable for a specific company’s business goals. While there are a variety of affordable and inclusive packages available in today’s marketplace, it’s imperative to weigh all options in order to ultimately make an educated and economical decision.

There are a lot of companies that are willing to give individuals the opportunity to send fax to email. The convenience of being able to use an online fax service is becoming fairly attractive, and many people are taking this avenue to make all of their faxing transactions.

Online faxing, as it is being called works by giving an individual the opportunity to send faxes via the internet. Individuals do not have to waste unnecessary funds on obtaining a fax machine, and sending faxes over the internet also eliminates overhead for small and large businesses alike.

If you are interested in engaging in this fax over the internet service, but you are unsure how to get started, the first step that you will need to take is finding a company that allows this type of faxing to take place. Locating an online fax company is not as difficult as you may believe. In fact, there are hundreds possibly even thousands of online faxing companies that are willing to assist you.

After signing up with a fax to email service, you will be given a phone number to send your faxes on. In many regards, faxes are sent online in the same manner that emails are. You will be given access to an online fax services website every time that you wish to send a fax to an individual.

You will be taken to a compose screen, where you will be able to input the data on a fax that you are wanting to send. You will begin by writing your fax up in the same way that you compose an email. However, instead of the fax being sent through a noisy fax machine it will be sent over the internet. You will also not be using an email address when the fax is being sent, instead the company will give you a fax number that can be used to send and receive fax documents from everyone.

The opposing person does not have to send faxes to an individual using an online fax system over the internet. Instead, the opposing party can still send faxes in their normal fashion, through using a traditional fax machine.

Every time that you receive a fax, you will receive an email from the online faxing company that you have signed with, thus making you aware of the fax that was sent. Once you receive the email from the online faxing company that you have signed up with, you will need to log into their system in order to read the fax that you have just received.

Generally, for fax to email services, you will be required to pay a small fee on a monthly basis to the company for providing you with their services. The fees that you are asked to pay are lower than what you would have to pay for a traditional fax machine and faxing services. You are not required to have a phone line in order to receive faxes over the internet, everything will be done via your traditional internet service provider, and the website that your sign up with.

In these challenging economic times, companies everywhere are focused on finding methods of cutting costs and increasing efficiency. While lay-offs and cut backs may be effective, they are damaging to families and progression. Internet fax, however, allows companies to reach their goal of decreasing their spending without sacrificing productivity. Internet fax is easier than using a traditional fax machine and eliminates much of the costs, is better for the environment, and increases mobility for its users.

COST EFFECTIVE

Utilizing internet fax is cost effective for many reasons. The first is that no extra telephone line is required for faxing over the Internet. Whichever method is used for the internet is used for faxing. This means that if a company’s computers run on a high speed DSL, the phone line will never be tied up because of the fax machine. Even more importantly, this means that the company will not have to pay for an extra phone line to prevent that interruption. And since monthly fee that is charged by Internet fax providers is usually less than an extra phone line, implementing it still saves money.

Secondly, documents that are faxed via the internet are not automatically printed unless the receiver prints them out themselves. The fax is received in a manner similar to an email. If it needs to be printed, it is; if it does not need to be printed; it is not. Utilizing internet fax will save a company money on both paper and ink for documents that do not require a hardcopy.

In addition to the phone line and accessories to traditional faxing, the company will save money on the fax machine itself. Most likely, there is not a single company or business that does not have a computer with an internet connection, and that is all that is needed. Traditional fax machines, in the lowest quality range, cost at least $200. If a company opts for one with features and extra benefits, it can be a very costly expense that will only continue to eat at profits with the paper and ink that must fill it. Also bear in mind that fax machines are notorious for breaking down and becoming jammed; this tacks on the inevitable payment to the repair man and lost productivity in fax machine downtime.

MOBILITY FOR USERS

Traditional faxing requires being at the location of the physical fax machine to send or receive the fax. This can lead to a loss in productivity if fax communication needs to take place but the employee is not in the office. Since the internet fax is connected to the internet, it is not connected to a specific computer or other device. The company with internet fax will have a login ID and password, similar to an email account. No longer will the faxed document only be accessible from one location where the fax machine resides, but any location with internet access.

GOOD FOR THE ENVIRONMENT

Internet fax benefits the company in terms of cost effectiveness and mobility for its users, but it also has benefits for the environment. The Environmental Protection Agency (EPA) estimates that 15 million trees were cut down in 2007 for fax paper alone. The more companies eliminate their use of traditional faxing, the more trees will be left standing, and the less resulting damage is done to the environment.

The environmental benefits do not stop with the paper. Landfills are loaded with old electronics and ink and toner cartridges that have been discarded improperly, materials that faxing over the Internet can eliminate the need for. By cutting out the need for them with internet fax, the destruction they cause is cut off at the source. Putting plastic and outdated fax machines into the ground leaks poisons that are used in the internal workings of the electronics and production of the plastic.

Internet fax is increasing in popularity as companies and businesses catch on to these advantages. Essentially any business that sends and receives faxes will find Internet fax a cost effective solution that will actually help them boost their productivity because of the mobility it allows and how easy it is to use.

With devices such as cell phones, net books and similar internet-ready devices becoming more available and more technologically advanced, internet fax has emerged as an efficient manner to send and receive important documents. Internet fax may allow businesses to save money through a reduction in costs including fax lines, toner, paper, repair and the initial costs of the fax machine and replacement of that machine. Internet fax allows access to important faxes on the go and allows for important faxes to be sent on the road. It also allows greater confidentiality for faxes and is not dependent on the device being turned on.

Before a business can start sending and receiving faxes online, they need to decide upon a service. There are a number of great services out there on the Internet to choose from. These services provide an Internet fax number that allows users to send and receive faxes online. Faxes received can be retrieved on an Internet control panel or at an email address. In order to take full advantage of the internet fax services, a company can use an internet ready device such as a smart phone. Some phones that work well for this purpose are the iPhone, BlackBerry, Droid and the Palm series. Netbooks are another good option. These are compact laptops that provide much of the function of the traditional laptop but they are easier for a person to carry with them.

Internet fax capabilities may allow businesses to save money. With internet fax, a business has the choice to either make a hard copy of a fax or to save it on the device for easy access. Faxing over the Internet enables the business to save substantial amounts of money on printing costs such as paper and toner. Another result of this is that the business has less paperwork to organize. Faxes can be kept and organized electronically allowing for a more streamlined work environment. Businesses also have the option to use internet fax to replace the traditional fax machine entirely. By directing all of their faxes through an online service, a company may not need to expend the money to purchase a fax machine. They also do not have to deal with problems such as the fax machine breaking down, a situation which can be costly both in money and in time.

With third party electronic devices, internet fax allows businesses to become more mobile. Even if an employee is away from the office, they can send and receive faxes through their smart phone. If an employee requires access to certain information from a fax to assist him with potential clients he or she has access to that information on their mobile devices. If a client requests certain information that the employee does not have in their possession, he or she has the power to contact someone who does have the information and get them to fax it to his or her PDA or other mobile device. This expedites the process of getting the necessary information since a company does not have to search for a physical fax page filed away somewhere. This time saved can be essential in business negotiations.

Internet fax allows businesses to control who has access to a document. With PIN code protection to faxes, only those with proper permissions have access to it. With a standard fax machine, documents are not always picked up immediately by those to whom they are sent. In this case, the fax is sitting in the machine and anyone who has access to the machine has access to the fax. In the business world, faxes often contain sensitive information that companies do not want everyone to see. Identity theft is a problem and if someone’s personal information was compromised, the time, money and effort to clear everything up may be enormous. Besides this effort, there may be loss of goodwill and trust if the identity of a client is compromised.

Internet fax is a way in which documents can be sent without the use of a fax machine and there are a number of devices, such as cell phones, netbooks, and PDAs, which will allow a business to send and receive faxes on the go. There are numerous benefits for this, but the most significant is the greater mobility that businesses with internet fax service have.

With all the technology now available, it can be difficult to know when to use which new advancements for different parts of doing business. This is especially true when it comes to sending information and messages through Internet fax or email. There are benefits to both, as well as times when one is more appropriate than the other. However, within business solutions and dealings, using an internet fax is many times the right choice.

First, an internet fax is similar to a traditional fax, except for the added convenience of doing everything over the Internet, rather than on a physical fax machine. There are numerous internet fax companies to choose from and each operates a little differently. Some will charge per page while others will charge per minute. Many companies offer business accounts for corporations that will be sending numerous faxes regularly. Pages to be faxed over the Internet can either be uploaded to an online interface or sometimes a fax driver is provided that will allow you to fax directly from within your document. The data output will look just as it does when a regular fax is sent, except most likely with more clarity.

Another advantage is that it is a great way to send signed documents quickly. This can be especially important within business transactions when a signed document is required for legal purposes. Just as a regular fax, the internet fax is considered a legitimate form of a legal signature. With email it is possible that the company on the other end may not be able to open the attached documents. With different versions of software and proprietary document formats, this is a problem that can come up often in the business world. When faxing over the Internet, the company receiving them can still have them come out of their fax machine, but with more reassurance of its arrival. Or if they too have an internet fax account, they can retrieve them from their account as well.

Furthermore, since internet fax documents look like regular fax documents, it is a more professional way of sending information. Private email addresses, many times, look unprofessional due to the email address name or can get lost in the backlogs of emails or diverted to junk mail folders. Many companies still prefer using faxed documents because of their professional quality, and having a document that looks exactly like the original really helps.

Sending large files through email can sometimes be a problem. Many times they will take forever to send or time out before the files can be sent in their entirety. This is another situation where faxing over the Internet is a better solution. You have a larger capacity when faxing over the Internet than when sending an email because Internet fax does not fall under any caps put in place by email hosts.

Using an internet fax also means eliminating the need for additional office equipment and phone numbers. Fax machines can be large, bulky, need maintenance and additional supplies. Faxing over the Internet eliminates these additional office items and cuts costs for many businesses. So a company looking for an alternative to email doesn’t have to worry about increasing costs by using an Internet fax service. Also, additional office phone lines are not needed. When signing up with a provider, a fax number is assigned to each user. This means that any company will be able to give that number out as their fax number, instead of having to sign up with the local phone company and paying those additional charges.

Because of bulk quantity fax packages that can be purchased, the cost of faxing is lowered further. Instead of the actual cost of paper and supplies that are needed to be used to fax, as well as the monthly cost of the service number, an internet fax is sent electronically, eliminating these items. There are companies out there that offer free fax services for sending or receiving. Since businesses must pay for an additional phone line with traditional faxes, they must pay for its use regardless of actual faxes sent.

Email is useful for many transactions however, using an Internet fax is many times a better choice. It is professional, cost effective, simple and fast.

To have a popular website you will need to understand how to go about traffic generation. Every day there are more web pages being uploaded to the net, without understanding the latest search engine optimization and internet marketing techniques all your hard work may be in vain.

Social networks are an excellent way of raising the profile of your portal. You can easily create a Facebook or Orkut account for any business and organisation as well as person. Today sites such as these are amongst the most visited on the net, each day receiving tens of millions of hits. Even if you do not want to create your own profile they are still an excellent place to advertise information about your website. As a social network holds a lot of demographic data your ads can be better targeted.

Do you have a tweeter account? If not then you are not using one of the newest and most effective ways of generating website traffic. By building up a large contact base who you keep in contact with through tweets, you can ensure that you are keeping customers informed of any changes or news.

Many people now go online to check out videos. As bandwidth has increased the popularity of portals such as You Tube and Google Video have flourished. An easy way to increase visitor numbers to your site would be to put together a brief video clip and upload it to a popular video sharing site. For example if you have a portal that sell cookbooks you can create a short “how to make pasta” video. This would receive more visits than a video simply called “pasta cookbooks”.

Directories are also seen as being a great way to enhance any site’s traffic. Today there are literally hundreds of online directories you can use to increase awareness of your website.

Links are the arteries of the internet. It is these which carry the traffic from one site to the next. You should try to incorporate as many links as possible into your web pages. Also find other websites on which you can place links back to yours.

The search engine optimization techniques which can allow you to receive a higher ranking in Google, Yahoo, and Bing are changing all the time. The most important aspect of SEO is keywords. Be sure to use effective keywords in your webpage’s’ copy but be aware of density levels.

For those that have websites or businesses online and want the best traffic from the Internet, you should try traffic ultimatum. Many people use this in order to make it to the top on the Internet. Find out more about the traffic generation today.

There was once a time when a telex machine was cutting edge office technology for communications. Now the choices are endless – faxes, e-mails, instant messaging, text messaging, among other methods. And even the way people use fax communication is changing. Businesses are now moving away from traditional paper and toner faxing for something better. The internet fax has a lot of benefits that make it a better choice for business – environmental stewardship, cost savings, efficiency, organization, and security.

1. Internet fax is environmentally friendly in that it essentially does away with fax paper and toner cartridges. The receiver can review faxes as they come in and decide which messages should be printed and which ones should be saved on the computer or deleted. The environmental benefit is actually two-fold. First it eliminates the need for toner and paper, reducing the amount of resources consumed for the production of those items. Secondly it reduces the number of actual fax machines that have to be manufactured and then disposed of in landfills.

2. From the cost savings standpoint, internet fax is a godsend. Just as eliminating toner cartridges from landfills is good for the planet, it’s also good for the bottom line of a business. When considering the hundreds of dollars a year in toner and paper consumed by even the smallest businesses, the savings can add up. It also means less employee time wasted in changing toner frequently, or in dislodging paper jams. In addition to introducing this element of economy into the picture, faxing over the internet provides a nice element of control. Businesses can now mercifully be spared the guerilla tactics of blitz marketers who jam up people’s faxes with offers of cheap health insurance or vacations in Orlando. The internet fax makes such annoyances a thing of the past.

3. The efficiency of sending and receiving faxes is enhanced with the internet fax. Senders won’t receive busy signals. They won’t have to hit the automatic redial button and then wonder when an urgent document would reach its recipient. The elimination of the proverbial “log jam” experienced by offices during periods of busy traffic can result in increased efficiency, as well as the benefit of not losing business due to busy signals. That last element in itself can be so profound as to eclipse many of the other advantages of the faxing over the internet.

4. From an organizational standpoint, the internet fax also imparts an element of order into the busy stream of faxes received by the typical small business every day. All those faxes can easily be categorized into folders that make file management under Windows or other operating systems much easier. This is definitely a preferable alternative to maintaining paper copies that can be lost or misfiled more easily. In addition to an office’s own electronic filing system, the server of the service provider can be a trusty back-up.

5. From the standpoint of security, the internet fax is vastly superior to its traditional paper fax counterpart. When a document is received, it goes straight to the computer of a specific end user (unless of course copies are deliberately intended for others). This means that confidential information is not lying on the floor after falling off the fax table. Aside from the ethical obligation to protect the confidentiality of sensitive information, faxing over the Internet can reduce the chances that a business will be sued because someone’s personal information was found in a dumpster outside the building.

With all these overwhelming advantages, it makes a person wonder if the internet fax will do to the traditional paper fax what CDs did to audio cassettes. Perhaps in the not-too-distant future, the traditional fax machine will be seen as an anachronism, maybe an interesting office decoration like an antique Royal typewriter. Whatever the outcome may be, it looks like the internet fax is here to stay.
